Availability

Availability is at the heart of our platform, ensuring that consumers can only book products and experiences when there is genuine capacity. This guide explains how availability is managed, surfaced, and communicated, so you can offer a seamless booking experience to your consumers.

Key Benefits

  • Real-time accuracy: Consumers always see up-to-date availability, reducing the risk of disappointment or overbooking.

  • Seamless experience: All availability checks and bookings are managed centrally, regardless of the supplier or product source.

  • Flexible options: Our platform supports a wide range of products, each with its own requirements and booking flows.

  • Clear communication: Both you and your consumers receive timely notifications about booking status, confirmations, and any changes.

How It Works

  • Live Data Synchronisation: Our platform synchronises availability in real-time with your systems and suppliers, so consumers always see the latest options.

  • Dynamic Questions: Some products require extra information before availability can be shown (for example: room configuration, guest ages, or dietary requirements). We may ask additional questions based on previous answers, ensuring all required information is collected before showing availability.

    • Example: A hotel product may require check-in/out dates, number of rooms, and guest details. We’ll prompt for these in sequence and only show availability once all required information is provided.
  • Booking Questions: At the point of booking, we may ask for additional details (such as lead passenger name, contact details, or acceptance of terms). All questions and answers are localised for your consumers’ language.

  • Handling Failures & Cancellations: If a booking attempt fails due to a lack of availability (for example, if a slot is sold out), our system immediately notifies all relevant parties and updates the booking status. Cancellations can be initiated by the consumer, supplier, or us, and are always communicated clearly.

  • Communication & Notifications: Consumers and partners receive timely emails for booking acknowledgements, summaries, failures, confirmations, cancellations, and pre-arrival instructions (if configured).

Partners' Action

  • Keep Inventory Up-to-Date: Make sure your system synchronises availability in real-time to avoid overbookings and consumer disappointment.

  • Respond to Questions Promptly: Configure and maintain all required pre-availability and booking questions for your products.

  • Monitor Failures: Review instant failure notifications and address root causes (such as inventory mismatches).

  • Customise Communications: Use your configuration settings to tailor email templates and recipient lists to your business needs.

Additional Notes

  • You can control which emails are sent, to whom, and with what content via your partner success manager, who will update your configuration settings.

  • Our system supports consumer-initiated, supplier-initiated, and forced cancellations, each with specific handling and notification flows.

  • All features are designed to ensure a smooth, transparent, and reliable booking experience for your consumers.
